Staff Training Systems: How to Write Standard Operating Procedures for Your Devices

Documented SOPs, practical certification exams, new-hire mentoring and scheduled retraining keep service quality stable no matter who is on shift.

Service quality collapses when every therapist improvises. The fix is a documented SOP system: one written protocol per treatment, covering room preparation, consultation questions, device parameters by skin or body type, treatment sequence, timing, hygiene standards and aftercare instructions.

Write each SOP as a one-page checklist the therapist can follow mid-treatment, plus a parameter card attached to the device. Pair it with an assessment: every employee passes a practical exam — performed on a model and observed by a supervisor — before touching a paying client, and then receives a simple internal certification.

New hires shadow for a defined number of sessions, then operate under supervision, then pass the certification before working alone. A senior staff member owns each newcomer’s progress from day one, so accountability is personal rather than abstract.

Finally, schedule retraining: a monthly one-hour session to review parameter updates, client complaints and safety notes with the whole team. SOPs are living documents — revise them whenever a device is updated or a near-miss occurs. Salons that certify and retrain consistently see fewer incidents, steadier reviews and far easier expansion to a second location.
